RegFlow AIBeta
Terms of Service
1. Who we are
RegFlow AI is a service of Dr. Bonarius Consult GmbH, Bärengasse 23, 4800 Zofingen, Switzerland, UID CHE-453.828.353 (“we”). Contact: info@bonariusconsult.ch.
2. The beta service
RegFlow AI is in beta. During the beta, each company can submit one study report (one PDF) free of charge. We recognise the company by the domain of the business email address you enter.
We extract the data from your report with AI, have the result checked semi-automatically by a second language model and send it to you by email: an IUCLID 6 file (.i6z) with validation hints.
No strings attached: the beta costs you nothing, and you enter into no subscription, no further order and no other obligation. We do not share your study with anyone, apart from the technical providers named in section 4 that we need to run the service.
We offer the beta to businesses only. We aim to deliver within 24 hours, often sooner; this is a target, not a guaranteed deadline. We may change, pause or end the beta at any time. The version of these terms you accepted when you submitted your study applies to that submission.
3. Your submission
By using RegFlow AI, you confirm that you have the right to share the study report with us for this purpose, for example because your company owns the study or the owner has agreed. We rely on this confirmation, as we cannot check it ourselves. It is therefore your responsibility to make sure that sharing the report is permitted, including under confidentiality agreements and data protection law. Should a third party raise claims against us because the report should not have been shared, we count on you to support us and to hold us harmless.
If the report contains personal data, for example the names of study personnel, we process these data on your behalf and only to provide the extraction. On request, we conclude a data processing agreement with you.
4. Confidentiality and service providers
We treat your study report, your instructions and the result as confidential and use them only to provide the extraction. We do not use them to train AI models.
We store study reports and results in our Google Workspace, with the Google Workspace data-region policy set to Europe. This policy applies to covered customer data at rest. For the extraction and its validation, we use large language models from reliable providers, with their standard data processing terms in place.
Only Dr. Bonarius Consult GmbH has access to your files.
5. Retention and deletion
We permanently delete your study report and the result 30 days after we have sent you the result. If we cannot extract the data, we let you know and permanently delete all your files. On request, we delete them earlier.
To apply the one-study-per-company rule and to document your acceptance of these terms, we keep your first and last name, email address, company domain, the date of your submission and the version of these terms until the beta ends.
6. Our approach and your results
RegFlow AI follows a human-in-the-loop approach. The extraction is based on AI, and a second language model validates it semi-automatically. The validation gives you hints on where to look or adjust; it is not a complete manual review.
RegFlow AI is not a tailored service: you receive the result as RegFlow AI produces it, and we do not correct it by hand. We cannot guarantee that a result is complete or free of errors. Please review the data before you use it in a dossier, a submission or a regulatory decision; this responsibility remains with you. We welcome your feedback on errors you find, as it helps us improve RegFlow AI.
7. Rights to the results
You receive all rights to the result we deliver to you. You keep all rights to your study report.
8. More than one study
Would you like to extract more than one study? Please reach out to us at info@bonariusconsult.ch or through our contact form. We will tell you about the options and pricing. Any paid service is agreed separately.
9. Liability
The beta is free of charge. To the extent permitted by law, we exclude our liability for the beta service and its results. This does not apply to damage we cause intentionally or through gross negligence.
10. End of the beta
If we end the beta, we complete or cancel open submissions and then delete your data as described in section 5.
11. Privacy
We process the details you enter (first name, last name, business email address and your instructions) to provide the service and to contact you about your submission. The form on our website sends your details and your file directly to Google (Google Apps Script), which stores them in our Google Workspace. Details are in section 8.9 of our privacy policy.
12. Applicable law and place of jurisdiction
These terms are governed by Swiss law. The United Nations Convention on Contracts for the International Sale of Goods (CISG) does not apply. The place of jurisdiction is Zofingen, Switzerland. Mandatory statutory provisions remain unaffected.
